Executive Assistant for Development

Pacific Legal Foundation seeks an energetic, confident self-starter to provide high-level administrative support as a member of our Development team. The Executive Assistant for Development will serve as “right arm” to the Senior Director of Development and play a key role in ensuring the smooth, efficient functioning of the department.

Primary responsibilities include managing calendar and correspondence, tracking key initiatives, preparing meeting materials and reports, booking travel, and handling a variety of day-to-day support needs. The Executive Assistant also manages the grants process, oversees the Development budget, and provides office manager support to the Florida office. The successful candidate will possess superior organization and time management skills, be highly proficient with Microsoft Office, and demonstrate a flexible, professional, get-it-done approach.

As a national nonprofit organization, PLF is 100% funded by private contributions from thousands of donors across the country. Our Development team is focused on cultivating strong relationships between PLF and our donors to secure the necessary financial resources for our important work defending liberty and justice for all.

Primary Responsibilities

  • Provide high-level administrative support to the Senior Director, including managing calendar and time blocking for priorities; managing emails and drafting correspondence; tracking key department initiatives; preparing agendas and meeting materials; booking travel; maintaining files; preparing reports/updates for board meetings; and special projects/tasks as needed.
  • Assist the Senior Director with maintaining regular contact and correspondence with donors assigned to him and to the President.
  • Manage the grants process in collaboration with the Foundation Relations Officer. This includes maintaining an updated submission calendar; monitoring the progress of proposals and reports throughout the process; gathering and preparing supporting materials; maintaining electronic copies of all relevant documents; and ensuring the timely submission of proposals and reports.
  • Oversee the Development budget, including tracking expenses; gathering and submitting documentation for department and staff credit cards; and assisting Development staff with expense reimbursements as needed.
  • Provide office manager support to the Florida office. This includes maintaining supplies; handling mail and FedEx; answering phones; office organization, filing, shredding; serving as primary liaison to Sacramento staff, building staff, or vendors on matters such as IT, copier, or other office/facilities issues.

Additional Skills/Preferred Experience

  • 3 or more years of relevant experience executing the key job duties.
  • Highly proficient with technology: Outlook, Word, Excel, PowerPoint, video conferencing, CRM software, Internet. Experience with Raiser’s Edge and/or Trello a plus.
  • Superior organization, time management, and problem-solving skills. Meticulous attention to detail. Strong grammar and proofreading abilities.
  • Action oriented and highly skilled at marshalling resources (staff and materials) to drive initiatives to successful and timely completion.
  • Solid oral and written communication skills. Ability to establish strong, productive relationships internally and externally, adept at fostering an environment of teamwork and collaboration.
  • Sound judgment and the highest levels of loyalty, trustworthiness, and discretion.
  • Adherence to and knowledge of the principles of liberty.
